Perfect Tech stack for Training, Consulting and Content-Creating Businesses

If you’re a business owner, you already know the juggle — one minute you’re the marketer, the designer, the editor, the project manager, and sometimes even the tech support. You’re balancing clients, content, and creativity while still trying to grow your audience and keep everything running smoothly. The right tools don’t just make that easier — they make it possible.

If you’ve been following me for a while, you already know — I’m a tech girl through and through. I love tools that make running my business smoother, faster, and more automated. Whether it’s managing content, editing videos, or handling my team’s workflow, the right stack keeps everything organized and creative at the same time.

And right now is the perfect time to take a look at your tech stack, because many of the tools I use (and love) drop their biggest discounts around this time of year.

Note: Some links in this post may be affiliate links. That means I may earn a small commission if you choose to purchase through them — at no extra cost to you. It’s one of the ways we keep sharing free resources and insights like this.

Since I’ve been sharing about Skool lately, a lot of people have asked: “What tools do you actually use to run everything?”

Here’s a breakdown of my current stack — the tools that keep my content, community, and business running smoothly week after week.

💌 SendFox — Simple, Smart Email Marketing (One-Time Fee ~ $49)
https://girlgetvisible.com/sendfox

I’ve tried a lot of email tools over the years, but for where I am right now, SendFox hits the sweet spot. My list is around 4,000 subscribers, and I send 1–2 emails a week.

It’s simple — lists, segments, signup forms, and automations — but my favorite feature is the automatic newsletter from my social posts.
Even if I don’t have time to write, I know my audience gets a weekly update from my latest content.

If you’re not emailing as much as you should, this feature alone is a lifesaver. It keeps you consistent without extra effort.

📅 TidyCal — Effortless Scheduling (One-Time Fee ~ $29)
https://girlgetvisible.com/tidycal

Another simple but solid tool. I use TidyCal for one-on-one appointments and small classes (under 50 people).

It connects to my calendar, sends reminders, and takes payments for calls when needed.
What I love most: it’s one and done. No ongoing subscription.

If you’re constantly juggling Calendly links or paying monthly for scheduling, this tool will simplify your life instantly.

🤖 GoHighLevel —Half the Brain of My Business ($97+/month)
https://girlgetvisible.com/highlevel

This is my automation and CRM powerhouse. Every Marketing automation client I work with lives inside GHL.

It handles everything sales communication related to AI-driven follow-up. I don’t use all its features (there is so much more), but the CRM with AI workflows is worth the price alone.

I also love the sub-account feature — it lets me set up private client portals where each person can see and manage their own automations and results if they want to.
It’s like giving each client their own little ecosystem.

👥 Skool — Where My Community and Courses Live ($99/month)
https://girlgetvisible.com/skool

I’m all in on Skool right now.
It’s where I run my Build It Faceless community, host trainings, and share on-demand courses.

The big win with Skool: everything lives together — your content, people, and programs. No juggling a Facebook group, separate course site, and random chat threads.

If you’ve ever felt like your students or audience were scattered, Skool fixes that.

💰 ThriveCart + Learn — Selling + Delivery, Simplified (One-Time Fee ~$495–$690 with lower annual fee if you add the Plus Plan)
https://girlgetvisible.com/thrivecart

This duo handles all my checkout pages, upsells, and standalone courses.

While Skool is amazing for community-based programs, ThriveCart + Learn shines for independent courses and digital products.
I love how Learn integrates directly with payment, so there’s no messy tech setup between checkout and course access.

If you want to sell products without ongoing platform fees, this combo is gold.

🎨 Canva — Design Everything ($12.99/month)
canva.com

I know everyone uses Canva — but the difference is how you use it.

In my business, Canva is our creative engine.
From promo graphics and flyers to ebooks, thumbnails, video reels, and even course slides — it all happens here.

The Bulk Create feature is clutch for batching — I can upload one spreadsheet and generate dozens of branded posts in minutes.
And the new video editor is surprisingly powerful. I can create quick, polished content without opening another tool.

🎥 Hypernatural — Faceless AI Video Creation ($49/month)
https://girlgetvisible.com/hypernatural

Since going all-in on faceless content, Hypernatural has been a game changer.

It turns my scripts (often written by my custom GPTs) into realistic, voice-over-driven AI videos that I use on my history and business pages.
The quality is incredible — and it saves me hours of filming, editing, and retakes.

If you’ve been wanting to start faceless content, this is the easiest way to step into it confidently.
You can see one of my videos made with Hypernatural [here].

📊 Metricool — Schedule & Analyze Everything (Free or $18+/month)
https://girlgetvisible.com/metricool

Metricool keeps my entire content ecosystem organized.

I can schedule posts across all platforms (TikTok, Instagram, YouTube, Facebook, etc.) — and the best part is my team can schedule directly without needing login access to every account.

It also tracks analytics beautifully. I use it for weekly reporting so we can see what’s performing and plan content accordingly.
If you manage multiple brands or pages, this tool is essential.

✍🏾 SEO Assist — Content Creation & Repurposing ($49+/month)
https://seoassist.com

Of course, this one’s mine — and it’s the backbone of my content workflow.

I use SEO Assist daily for:

  • Brainstorming topic ideas
  • Turning social posts into blogs
  • Writing SEO-friendly emails and metadata
  • Creating follow-up and pitch letters
  • Generating blog outlines that sound like me

Because it’s question-based, it doesn’t require prompt engineering — anyone can jump in and start creating real, searchable content fast.

🎧 Descript — Edit by Deleting Words ($15–$30/month)
https://girlgetvisible.com/descript

Even though my podcast is on pause, Descript is still a staple for YouTube and course video editing.

It transcribes your video so you can literally edit by deleting text — like a Google Doc.
It’s perfect for cutting filler words, creating captions, and trimming without jumping through a traditional timeline.

If editing feels intimidating, this tool will make you love it again.

🗂️ Flowlu — My Digital Office aka the 2nd half of by Biz Brain ($29+/month)
https://girlgetvisible.com/flowlu

Think of Flowlu as my operations hub.
It manages my day-to-day tasks, team chat, and both internal and client projects.

This is where our content creation process lives — each piece of content goes through research, creation, review, and posting stages inside Flowlu.
It also has a CRM, but I prefer GHL for that side. Flowlu is my go-to for workflow and project management.

Clients don’t see this unless they book a project or VIP Day — it’s our internal command center.

🌐 WordPress — My Website Home Base ($10–30/month)

My main website lives on WordPress, built with Thrive Themes + Thrive Architect.

Even with all the new site builders out there, I still love the flexibility, SEO control, and ownership WordPress gives.
It’s the one platform I’ve used consistently for over a decade — because I own my content and can scale it however I want.

♻️ Repurpose.io — Set It and Forget It ($25+/month)
https://girlgetvisible.com/repurposeio

This tool quietly saves me hours every week.

Once it’s set up, Repurpose.io automatically distributes my videos to multiple platforms — TikTok, Reels, Shorts, Pinterest, even LinkedIn — without me touching a thing.
I almost never log in anymore because it just runs in the background.

It’s one of those tools you forget you have until you check your stats and see all of the places your traffic is coming from.

Final Thoughts

Running a business in this new content-driven world is about more than visibility — it’s about efficiency, automation, and flow.

Every tool on this list helps me focus on the parts I actually enjoy — teaching, creating, and connecting — without getting lost in admin chaos. It also has helped me scale my team and is flexible enough for me to run things solo

If your current setup feels messy, heavy, or just plain expensive, I’d love to help you simplify it.
